Delivery and Collection

Pick-up of your vehicle is usually at the airport or local rental location as specified at time of booking. In some locations, however, delivery to a pre-agreed address may be available during normal working hours although a charge will normally apply for this service. Should you wish to have the rental vehicle delivered / collected this should be requested at the time of booking. In ALL cases of delivery and collection, you must ensure that you are present to receive / hand back the vehicle.

Flight Information

For all airport collections it is essential that Solus be given the correct flight number and arrival time at least 7 days prior to the reserved pick up date/time. If the information is not given in time, Solus will do its best to ensure that the vehicle is available but no responsibility can be accepted or compensation allowed for a failed rental due to the customer providing the information late.

One Way Rentals

It is usually possible to return your vehicle to a different location from that where you picked it up providing such arrangements have been notified and confirmed at the point of booking. However, as some rental suppliers do not offer such a facility and others may make a charge for doing so, we strongly suggest that you check with our reservations department at the time of booking.

International one way rentals are not permitted.

Out of Hours Charges

At locations where the .out of hours. service is available, we can arrange for your vehicle to be picked up outside normal working hours. However, in some cases this may attract a small .out of hours fee., details of which will be advised at the time of booking. In all cases of airport pickup, details of your inbound flight must also be provided at point of booking (see Flight Information section above).

Please note that should your flight be delayed, causing collection of the vehicle to fall within .out of hours. times, this charge will also apply. Solus can accept no further responsibility where there is no out of hours facility available and it is therefore recommended that customers should take independent travel insurance.

Driving Licences

Drivers must produce a full and valid British / National driving licence held for at least one year (some exclusions may apply). National driving licenses in .non-Roman. script must be supported by an International Driving Permit together with your passport. Where a driving licence is in more than one part, drivers must have all sections with them.

In certain locations and for some vehicle types, drivers must have held a full licence for a minimum of three years.

It is the driver.s responsibility to ensure that he/she has the appropriate driving licence. Our reservations department must be informed of any endorsements on the driver.s licence, as certain endorsements may not be accepted.

No refunds will be given for rentals rejected due to non-production of an acceptable driving licence or non-disclosed endorsements.

Faxed or photocopied licences are not acceptable.

Rental Documents

The rental voucher must be presented when picking up your rental vehicle. This voucher will show your rental reservation number issued by the supplying rental company. Solus cannot be held responsible for rentals rejected if a voucher is not presented.

The terms and conditions on the rental agreement to be signed at point of pickup will form part of the overall contract of rental. You are advised to read all terms and conditions of rental and to raise any concerns with the supplying rental agent prior to signing the rental agreement.

You should retain your rental documents and related receipts for a minimum of 28 days after returning the vehicle.

Additional Drivers

Should you wish to include additional drivers, a small daily charge is normally made. This option will be made available to you as part of your quotation request. It is important to note that each additional driver must be able to produce the required driving license at the point of pick-up (please refer to .Driving Licenses. above) and will be subject to the same qualification criteria as the .main driver..

Deposits

All customers will be required to leave a pre-authorisation on their credit card at the time of pick-up to cover the collision damage / theft waiver excess, fuel and any additional local charges for extras. To do so, a valid credit card in the name of the hirer must be produced upon pick-up of the vehicle.

Cash / cheque deposits are not accepted.

Where a deposit for fuel is payable, it will be refunded if the vehicle is returned with a full tank of fuel. If the tank is not returned full, the vehicle rental supplier will charge for fuel at its prevailing rate. They may also levy a refuelling charge. Please check the supplying agent.s fuel policy when you pick up your vehicle.

Provision of Vehicles

Please note that vehicle rental supplier can refuse to provide a vehicle to any customer who is, in their opinion, unfit to drive or does not meet the qualification criteria. In such circumstances, Solus cannot be held liable for such decision being made by the vehicle rental supplier and we shall have no further liability to you in this regard.

Vehicle Groups / Suitability

Solus is unable to guarantee a particular make or model of vehicle. The vehicle shown on the rental voucher is for guidance only and may be substituted for an alternative similar or upgraded vehicle ( at no extra cost). All vehicles are booked by group and whilst the vehicle rental company will try to provide a vehicle within the group booked, if a vehicle group is not available a larger vehicle will be supplied to the customer at no extra charge. If you are dissatisfied in any way with the standard of the vehicle supplied, you must advise the local supplier immediately. Solus cannot accept liability where this procedure is not followed.

All rental vehicles are insured for a maximum number of passengers. This number, in the interest of safety, must not be exceeded. It is your responsibility to ensure that the vehicle being booked is large enough to meet your travelling requirements.

Cross-border Restrictions

Restrictions will apply when crossing country and state borders. Vehicles may not be taken outside the country of rental without the express prior permission of the vehicle supplier. Please consult our reservations department at the time of booking as to whether the vehicle may be taken across international borders and, where so permitted, the additional costs applicable.

Collision Damage and Theft Waiver (CDW)

Your responsibility for any and all damage to the rental vehicle, howsoever caused, during the period of rental will, in most circumstances (see "CDW Exclusions" below), be limited to the excess / deductible applicable. This contractual arrangement is termed "Collision Damage Waiver" or "CDW".

You will be required to pay, as part of the overall deposit, the CDW excess / deductible amount applicable to the rental at the time of pick-up (see "Deposits").

In most cases, the CDW product includes Theft Waiver whereby, in the event of the rental vehicle being stolen (or any attempted theft of the vehicle), your financial responsibility is limited to the CDW excess / deductible amount provided the vehicle is used in accordance with the terms and conditions of the rental agreement and the vehicle keys are returned upon termination of the rental. It is your responsibility to ensure that the vehicle and its keys are kept secure at all times. Please note that cover is not provided for the contents of the vehicle in the event of theft.

CDW Exclusions

There are a number of exclusions which include (but are not limited to):
  • damage to wheels, tyres and wheel-trims not caused as a result of a road traffic accident
  • damage to windscreens and all glass not caused as a result of a road traffic accident
  • underside and overhead damage howsoever caused
  • damage to any part of the vehicle resulting from .off-road. use
  • interior damage including cigarette burns, upholstery damage and roof lining damage howsoever caused
  • damage caused by negligence or where the driver is under the influence of drugs and/or alcohol
  • wilful damage
  • replacement keys / locks due to loss of or damage to keys / locks
  • towing charges
Where the damage incurred is excluded under the CDW policy, you will be financially liable for the total costs resulting from said exclusion.

We strongly suggest that you read the vehicle supplier.s terms and conditions of rental at the point of pick-up.

Excess Protection (EP)

Where this facility is offered, you may waive your financial liability for the standard excess / deductible amount by purchasing Excess Protection (EP). However, please note that the exclusions applicable to both CDW and TW also apply to the EP.

It is important to ensure that you sign a Vehicle Condition Report form upon pick-up of the rental vehicle and also at point of return of the rental vehicle to verify both the pre-rental and post-rental vehicle condition. Doing so safeguards your position in respect of any disputes regarding damage to the rental vehicle. In the event of an accident you must ensure that an Accident Report Form is accurately completed and a copy of this must be forwarded to us immediately upon termination of the rental. Details of any Police attendance (including references provided) and Third Parties involved must be recorded and provided to us.

Customers purchasing EP will be provided with a specialist personal injury claim service to assist with the pursuance of personal injury claims against third parties at no cost.

Excess / Deductible Collection

All customers will be required to leave a pre-authorisation on their credit cards at the time of pick-up to cover the collision damage / theft waiver excess. To do so, a valid credit card in the name of the hirer must be produced upon pick-up of the vehicle.

If the vehicle is damaged or stolen, the pre-authorised deposit will be retained and treated as payment of the excess / deductible applicable.

If, however, you have purchased our EP product and thus waived your financial liability, you may reclaim the excess / deductible paid to the rental supplier, subject to adherence to the process as outlined under section Excess Protection (above). Such reclaim should be directed to Solus within 7 days of termination of the rental with copies of all required supporting documentation being submitted no later than 21 days after termination of rental. The required documentation will consist of a copy of the completed Incident Report Form (supplied by the vehicle rental supplier) together with a copy of the rental agreement and invoice showing the payment of the full excess / deductible, copy of the signed Vehicle Condition Report form and any other information / documentation relating to the incident.

EP may not be available for certain vehicle groups and / or vehicle suppliers.

EP is not available to drivers aged under 25.

Tax

All pre-paid charges will include tax at the prevailing rate are included (except Australia where taxes are paid locally by law).

Any selected optional extras purchased by you locally will be subject to local taxes at the prevailing rate.

Where additional surcharges are to be paid locally (as advised at point of reservation), these will be subject to local taxes at the prevailing rate.

Solus reserves the right to levy any government increases in local taxes that may be introduced after the printing of these terms and conditions.

Car Type / Suitability

Solus is unable to guarantee a particular make, model or fuel type of vehicle as all vehicles are booked by vehicle group. The vehicle shown on your voucher is for guidance only and may be substituted by the vehicle rental supplier for an alternative, similar or upgraded vehicle (at no extra cost).

If it becomes impossible to provide your booked vehicle due to breakdown or an accident, a similar or upgraded vehicle will be provided.

If you are dissatisfied in any way with the standard of the vehicle supplied, you must advise the local vehicle rental supplier immediately.

Mechanical Difficulties / Accidents

In the event of any mechanical difficulties or accidents involving your vehicle, it is important that details are reported to the local vehicle rental supplier immediately.

In the event of an accident you must also complete an Accident Report Form by the end of the rental period. This is imperative should you wish to reclaim the excess / deductible charged to you by the local vehicle supplier from Solus if you opted to purchase EP.

Local police should also be notified in the case of accidents or theft and such detail should be provided on the Accident Report Form.

Full details of third parties and witnesses should also be obtained and such detail should be provided on the Accident Report Form.

You must not carry out any repairs to the vehicle without the express permission of the local vehicle rental supplier. Their name and contact details will be shown on the rental agreement.

You should retain copies of all rental documentation in the event an insurance company is involved.

A Vehicle Condition Form must be signed on pick-up and return of the vehicle. Failure to do so may delay the investigation of any disputes regarding damage excess charges or invalidate excess refunds under the EP product.

Your insurance cover and/or any waiver protection may be invalidated if this procedure is not followed correctly and this may prejudice any claim for compensation.
